Specialist, IT and Building Service

OBJECTIVE:
The Specialist, IT and Building Services is responsible for exceptional support of technology, voice and building services.  These include building access, telephones and facilities/meeting rooms—in short, first impressions for visitors to PCC in person or via phone. Team support services include building management and security liaison, managing IT and telecom support for staff—such as  onsite desktop solutions—as well as managing the external IT vendor relationship for more complex problems.  
 
This position will appeal to a well-rounded IT generalist interested in a team-based role (with variety beyond IT) and in a cause-related environment for an important men’s health charity.
 
KEY RESPONSIBILITIES
 
Information Technology and Telecom Systems:

  • Oversees technology support from desktop to server for PCC staff
    • Act as primary source for IT queries and problems from PCC staff and consult and/or resolve on basic issues (e.g., power issues, directories and apps, etc.)
    • Act as primary source for desktop queries regarding applications and software
    • Maintain “docket” of inquiries to triage and communicate to outsourced IT provider
    • Consult VP, Finance to identify need for IT vendor support
  • Completes “new employee IT set up” for first day (including PC access, telephone extension, and security card and building access, etc.)
  • Suspends access to systems following managers’ completion of IT termination form
  • Oversees telecom support and vendor relationships (phones, conference, webinar/meeting videoconference)
    • Assign telephone numbers and passwords (including setting up new employees) and liaise with Telus regarding phone changes, updates, issues
    • Provides conference number and passwords to staff
  • Maintains inventory of all IT and telecom equipment including portable technology such as smartphones and laptops
  • Researches and recommends potential new platforms including migration to Cloud technology
Building Services:
  • Acts as contact for property managers regarding notices affecting office utilities and access
  • Oversees building security including:
    • assigning entry cards, passwords and codes
    • acting as key contact for security system management
  • Ensures meeting room technology is current and available for meetings, webinars and other events
  • Plans and implements with office moves and changes, as required
  • Assists with annual Raffle regarding tickets
 
DECISION MAKING
 
Approves:
  • Solutions for individual desk top issues
  • Develops protocols and assigns passwords and security codes and access
  • Notifications regarding building access and security
Contributes to:
  • Larger budget issues related to IT support and telecom vendors
  • Annual budgeting process, hardware purchases
  • Raffle process

Qualifications
Post-secondary Education:    
  • Post-secondary education, preferably in Computer Science, Business Administration or Management
Experience:
  • 3+ years’ experience in an IT generalist support or help desk role
  • Well-versed in drafting technology policies and procedures
  • Knowledge of telecom systems
  • Previous experience with facilities or building management preferred
Technology:
  • Technologically literate regarding servers, networks, hardware and MSOffice; prefer experience with desktop help/support
  • Experience with “active directory” and hunt groups
  • Proficiency in MS Office
  • Knowledge of Cisco phone systems
Other:
  • Problem solving skills to identify solutions to complex issues
  • Excellent interpersonal skills; strong communication skills; ability to multi-task
  • Exceptionally reliable

  • Mature and professional
